Participant Engagement & Administration Coordinator
Part Time 15hr/wk | Geelong
Geelong Adventure Specialists (GAS) delivers disability support, outdoor education, adventure therapy and tourism experiences across the Geelong region.
We are seeking a highly organised and people-focused Participant Engagement & Administration Coordinator to join our team. This role is responsible for supporting participant enquiries, onboarding, service administration and ongoing communication with participants, families, schools and referrers.
Working closely with the Managing Partners, facilitators and clinicians, you will play an important role in ensuring participants receive a responsive, professional and positive experience throughout their engagement with GAS.
Key Responsibilities
- Respond to participant, family, school and referrer enquiries.
- Coordinate participant onboarding, including intake documentation, consent forms and service agreements.
- Schedule appointments, bookings, group registrations and participant communications.
- Support participants, families and schools to understand available services and identify suitable options.
- Maintain accurate client records and administrative systems, including ShiftCare.
- Coordinate participant information and communication between staff and stakeholders.
- Support invoicing, payments and general office administration.
- Assist with the day-to-day administration of programs and services.
- Contribute to continuous improvement of systems and administrative processes.
About You
You will be a professional and capable administrator who enjoys working with people and building positive relationships.

- Experience in administration, customer service, client services or community services.
- Excellent verbal and written communication skills.
- Strong organisational and time-management abilities.
- The ability to manage multiple priorities and competing deadlines.
- A professional, friendly and approachable manner.
- Initiative, sound judgement and strong attention to detail.
- Confidence communicating with a diverse range of people.
- High-level computer literacy and the ability to learn new systems quickly.
Desirable
- Experience using ShiftCare or similar client management software.
- Knowledge of the NDIS and participant pathways.
- Experience in disability, community services, education, health or related sectors.
- Experience coordinating bookings, scheduling or service delivery.
